The basics

What is Handover Pro?

A SharePoint app that runs a handover as a tracked process. When someone leaves, changes role, hands over a project or a client, or goes away, it maps what they own and can open in the sites you choose, finds what would be lost, interviews them, drafts a cited handover document, moves or shares their access through an approved plan, collects sign-offs and seals a package that can be checked later.

Who is it for?

Organisations that run their work in Microsoft 365: PMOs and delivery teams, IT and Microsoft 365 teams who clean up after people move, and risk and compliance teams who need evidence. Microsoft 365 partners and MSPs use it for client roll-offs.

Does it need Copilot or any extra Microsoft licence?

No. It runs on SharePoint Online with the licences you already have. Where you do use Copilot, the sealed package is a clean, cited source it can answer from too.

Does it work in Microsoft Teams?

Yes. Add it as a tab in a team's channel, or use it on a SharePoint page or as a full-page app.

Install and set-up

How do we install it?

Upload the package to your tenant app catalog, or to one site collection's app catalog, add the Handover Pro web part to a page and press Set up this site. It needs no admin consent, no Azure app registration and no Microsoft Graph permissions.

What does set-up create?

A few hidden lists and libraries in the site you run handovers from, including a Handovers library for the sealed packages. Each handover gets its own permissions, so only the people taking part and the site's owners can open it.

Can a handover cover more than one site?

Yes. The coordinator chooses the sites, libraries, lists and folders to map. They can include other sites, as long as the coordinator can open them.

Data and security

Where is our data kept?

In your own SharePoint site. Handover Pro runs in the browser of the person using it, with their own permissions. It has no server and sends no handover data to Apps 365 or anyone else.

Does it read the contents of our files?

Not while mapping: it reads names, owners, dates and permissions. File contents are copied only at sealing, as evidence, and only for files that only the person handing over knew about, within limits you set.

Does anything leave our tenant?

Only a small daily check-in about the installation: tenant ID, site address, app version and licence state, with no names or content. A site owner can switch it off under Settings in Handover Pro. Licence keys are checked in the browser and never call home.

How do you stop records being changed?

Every audit entry carries a fingerprint of the one before it, approvals name the exact version they approve, and the sealed package lists every file with its fingerprint on a PDF certificate. Check package compares every file with its fingerprint at any time. Site owners keep full control of their site, so Handover Pro detects changes rather than preventing them.

Is it fair to the person handing over?

They see your privacy notice before they answer, their answers are their own words, and nothing scores or rates them. They can say "I don't know" and can comment on the document instead of signing it. The coverage score measures how complete the handover record is, not the person.

Access changes

Can it change permissions on its own?

No. Nothing changes until a reviewed plan is approved and someone applies it. Access is always added for the new owner before it is removed from anyone, every change is checked afterwards, and until sealing changes can be rolled back, except check-ins and discarded check-outs, which you confirm separately.

What does it not change?

It plans changes to SharePoint permissions and SharePoint groups. It does not remove sharing links or change site collection admins or Microsoft 365 group owners: it lists them as gaps, and you fix them in SharePoint, Teams or Outlook and mark them as fixed.

What happens to temporary access after a cover or an overlap?

On the return date or the end of the overlap the handover is flagged. Access is taken away only when the coordinator or a site owner presses End the cover or End the overlap, so temporary access does not quietly become permanent.

Licensing and buying

How is it licensed?

Buy an Exit Pack for a single handover, or a Team, Department or Tenant plan by the year, in the APPS 365 shop. After payment you paste your SharePoint address and your key is issued straight away; plans renew each year with a new key. Licence keys are checked offline inside the app.

Is there a free trial?

Yes. A 14-day trial runs up to three handovers at once with every feature. Choose Free Trial in the shop and check out (there is nothing to pay), then paste your SharePoint address and your trial key is issued straight away. Each organisation can start up to three trials in any 90 days.

What if we run out of handovers?

Add Exit Packs to any plan: each one adds a handover. Plans do not add up to each other, so move to the larger plan if you need more every year.

Who is behind Handover Pro?

Apps 365 Ltd, a UK company that builds SharePoint and Microsoft 365 apps, including GovernPoint, Image Maps and NavPilot. We are based in London.
